Refund & Cancellation Policy
CordialChart access is sold as one-time, per-student access codes (each, a "seat") that do not expire. This policy explains the limited circumstances in which a seat may be refunded, and applies whether the program or the student pays. It forms part of, and should be read together with, the CordialChart Terms of Service. Except as expressly stated here, or where non-waivable law requires otherwise, all sales are final.
1. What you are buying
A seat is a license granting one named student access to the CordialChart service for the applicable certification level. A seat is delivered as an access code. "Assigned" means the code has been issued or allocated to a particular student, whether or not they have signed in. "Redeemed" or "used" means the code has been activated, or any clinical, field, charting, evaluation, scheduling, or messaging data has been created under it. You are purchasing access to a service, not a tangible good.
2. Unused, unassigned seats (30-day window)
A seat that has never been assigned and never been redeemed may be refunded within 30 days of purchase. Requests outside that window, or for seats that have been assigned or redeemed, do not qualify. Approved refunds are issued to the original payment method.
3. Assigned or used seats are non-refundable
Once an access code has been assigned to a student and redeemed or used, it is non-refundable and the sale is final, including where a student later withdraws, transfers, fails to complete, or is dismissed from the program. This is because the service has been delivered, the access cannot be meaningfully returned, and the resulting record belongs to the program. Because seats do not expire, a redeemed seat remains available to that student for the remainder of their training. A code that has been assigned but not yet redeemed may, at our discretion, be reassigned to a different student in the same program at no charge in lieu of a refund.
4. What is not refundable
Without limiting Section 3, we do not provide refunds, credits, or price adjustments for: seats that have been redeemed or used; a student's withdrawal, transfer, non-completion, dismissal, or non-use; unused time remaining on a non-expiring seat; dissatisfaction arising after a seat has been used; or suspension or termination of access resulting from non-payment or a breach of the Terms of Service.
5. Volume and tier purchases
Where a purchase earned a volume discount, any approved refund that would drop the program below a discount tier may be recalculated so the remaining seats are billed at the correct tier price, and the refund adjusted accordingly. We will explain any such adjustment before processing it.
6. Pilots and trials
Complimentary pilot seats and trial access are provided at no charge and carry no refund. Any paid terms agreed for a pilot are governed by that pilot's written agreement, which controls over this policy to the extent of any conflict.
7. Invoiced programs
Programs on invoiced net terms are billed for the seats they order. Cancellation of unused, unassigned seats before redemption follows Section 2; amounts already due under a signed invoicing agreement remain payable, and this policy does not reduce or offset any such amount.
8. Chargebacks
If you believe a charge is incorrect, contact us first so we can resolve it. Initiating a chargeback or payment dispute on a seat that was validly assigned, redeemed, or used, or on amounts owed under a signed invoicing agreement, is a breach of the Terms of Service, and we may suspend the related account access pending resolution.
9. Discretionary refunds; no waiver
We may, in our sole discretion, grant a refund or credit that this policy does not require. Doing so is a one-time accommodation for the specific case and does not waive this policy or create any right to the same treatment in the future.
10. Your statutory rights
Nothing in this policy limits any refund or cancellation right that applicable law makes mandatory and non-waivable for you. Where such rights apply, they operate in addition to this policy.
11. How to request a refund
Email [email protected] with the account name and the specific seats or codes in question. We aim to respond within a few business days. Approved refunds are processed to the original payment method and may take several days to appear.
12. Governing law
This policy is governed by the laws of the State of Texas, without regard to its conflict-of-laws rules. If any provision is held unenforceable, the remaining provisions stay in full effect.
13. Changes
We may update this policy from time to time. The version in effect at the time of your purchase applies to that purchase.
